We collect information from two user types: practitioners (account holders) and waitlist clients (end users). Information includes user IDs, email addresses, contact details, notification preferences, and billing information via Stripe. We also process forwarded cancellation emails for appointment details.
3. How We Use Information
We use data to provide and improve our Service, send notifications, process payments, and communicate with users. We do not sell or share personal data with advertisers. All uses are limited to operational and transactional purposes.
4. Legal Basis for Processing
We process information under legitimate interest, performance of a contract, and user consent as applicable. Practitioners are responsible for obtaining consent from their clients for SMS and email notifications.
5. Information Sharing
We share limited data with trusted providers including Google (calendar integration), Replit, SendGrid, Twilio, and Stripe, solely to deliver core functionality. We may disclose data if required by law or to protect our legal rights.
6. Email Forwarding and Cancellation Detection
FullyBooked uses email forwarding to detect cancellations from your booking platform. You forward cancellation emails to your unique FullyBooked address, and we process them to extract appointment details.
Data We Access
- Email subject lines and body content from forwarded emails only
- Email metadata (sender, date)
- We specifically look for cancellation emails from scheduling platforms such as Vagaro, Acuity Scheduling, Calendly, Square Appointments, and Mindbody
How We Use This Data
- Parse cancellation emails to extract appointment details
- Trigger automated notifications to your waitlist clients
- Display cancellation history in your dashboard
Data Storage
- Forwarded emails are stored for 7 days (maximum 25 per user)
- Extracted appointment details (date, time) are stored in our database
Data Sharing
- Forwarded email data is NEVER shared with third parties
- Forwarded email data is NEVER used for advertising purposes
- Only notification content (which you customize) is shared via Twilio (SMS) and SendGrid (email)
7. Google Calendar Integration
FullyBooked offers optional integration with Google Calendar to help practitioners manage their appointments seamlessly.
Data We Access
- Calendar event titles, times, and busy/free status
- Your Google account email address (for authentication)
How We Use This Data
- Read your calendar's busy times to prevent double-booking when clients schedule appointments
- Create calendar events when appointments are confirmed
- Update or delete calendar events when appointments are rescheduled or cancelled
- Display your availability to clients on your public booking page
Data Storage
- We store your Google authentication tokens securely to maintain the connection
- Calendar event data is accessed in real-time and not permanently stored in our database
- Synced appointments are stored as booking records in our system
Data Sharing
- Google Calendar data is NEVER shared with third parties
- Google Calendar data is NEVER used for advertising purposes
- Only you and your booked clients see appointment information
Revoking Access
- You can disconnect Google Calendar at any time from your Account settings
- You can also revoke access via your Google Account at myaccount.google.com/permissions
- Revoking access will stop calendar syncing but won't delete existing booking records
8. Cookies and Tracking
We use essential cookies only for authentication and session management. We do not use analytics, advertising, or third-party tracking cookies.
9. Your Rights and Choices
You may access, modify, or delete your information at any time via your account dashboard. Requests for account deletion can be sent to Help@FullyBookedCalendar.com. Waitlist clients can opt out of notifications at any time.
10. Data Retention
Account and client data are retained as long as the account is active. Upon deletion, all associated data are permanently erased. Usage and billing records may be retained for compliance purposes.
11. Security Measures
All transmissions are encrypted via HTTPS/TLS. Access to data is restricted and authenticated via secure tokens. However, no system can guarantee absolute security.
12. Children's Privacy
Our Service is not intended for children under 13. We do not knowingly collect personal data from minors.
13. International Data Transfers
Data may be processed on servers outside your jurisdiction, including the United States. By using our Service, you consent to such transfers.
14. Changes to This Policy
